Security & Confidentiality
Built for confidential client work.
IdeaJudge is designed for patent attorneys and IP law firms that need to monitor client-specific patent activity without giving up control of the client relationship or the information used to provide the service.
We take confidentiality, data security and responsible use of client information seriously.
Your firm stays in control
You decide:
- what client information is provided to IdeaJudge;
- which clients are monitored;
- what intelligence reaches the client; and
- when further professional analysis or advice is warranted.
IdeaJudge does not contact monitored clients directly unless your firm expressly instructs us to do so.
We minimize the information we need
IdeaJudge is designed to work primarily from information such as:
- public company websites;
- product and technology descriptions;
- public patent and patent-application numbers;
- publicly available patent documents; and
- monitoring instructions supplied by your firm.
Where appropriate, monitoring can be configured using an anonymized technology description rather than identifying the client by name.
We encourage firms to provide only the information reasonably necessary for monitoring.
Client information is treated as confidential
Information supplied by your firm for client monitoring is used to provide and support the IdeaJudge service.
We do not publicly disclose:
- which clients your firm monitors;
- client monitoring profiles;
- competitors being monitored;
- patent portfolios submitted for monitoring; or
- Product Decision Briefs generated for your clients.
Your client information is not sold to third parties.
Client data is sandboxed and kept strictly confidential
Client website URLs, selected patent portfolios, monitoring profiles, instructions and Product Decision Briefs are sandboxed within IdeaJudge’s systems and logically isolated from other firms’ data.
Even when the underlying source information is public, the client relationship, monitoring activity and resulting analysis are kept strictly confidential.
Client data is used only to provide, secure and support the service for your firm. It is never disclosed to other customers, sold, used for advertising or used for any unrelated purpose.
Attorney review comes first
Product Decision Briefs are delivered to your firm for review.
They are not automatically sent to the client.
Your attorneys decide:
- what should be shared,
- what it means,
- and whether further work is required.
IdeaJudge provides patent monitoring and intelligence. It does not provide legal advice.
Access is limited
Access to client-related information is restricted to authorized personnel and service providers who require access to operate, secure or support the service.
Appropriate confidentiality obligations apply to personnel and third-party providers that process information on our behalf.
Security safeguards
IdeaJudge uses administrative, technical and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration or loss.
These safeguards include measures such as:
- controlled access to systems and information;
- authentication and account-security controls;
- encryption where appropriate;
- secure infrastructure and hosting;
- logging and monitoring;
- vendor and service-provider controls; and
- procedures for responding to security incidents.
No online service can guarantee absolute security, but protecting client information is a core part of how IdeaJudge is designed and operated.
Client data is never used to train public AI models
IdeaJudge does not use client information to train public, shared or general-purpose language models.
We use AI services through business and API arrangements under which submitted data is not used for model training. IdeaJudge does not opt in to sharing client data for model improvement.
Any service provider processing client information may use it only as necessary to provide its contracted service and must apply appropriate confidentiality and security protections.
Artificial intelligence and third-party providers
IdeaJudge uses artificial intelligence and other third-party technologies as part of its patent-analysis workflow.
Where information is processed by a service provider, we seek to limit that processing to what is reasonably necessary to provide the relevant function and to use providers subject to appropriate contractual and security protections.
We do not use client monitoring information for advertising.
Where applicable, additional information about material subprocessors is available to participating firms.
Data retention and deletion
Client information is retained only for as long as reasonably necessary to provide the service, meet legal or contractual obligations, maintain security records or resolve disputes.
When monitoring for a client ends, associated information may be deleted or anonymized in accordance with IdeaJudge’s retention practices, subject to any legal or contractual requirements.
Participating firms may contact IdeaJudge regarding deletion of client-related information.
Confidentiality and privilege are not the same thing
IdeaJudge treats client-related information as confidential.
However, whether information is protected by attorney-client privilege, work-product protection or another legal doctrine depends on applicable law and the circumstances.
Each firm is responsible for determining what information may appropriately be shared with IdeaJudge and whether any client consent, engagement-term update or other safeguard is required.
Additional agreements for law firms
Where required, IdeaJudge can provide additional contractual documentation for participating firms, including:
- confidentiality terms;
- data-processing terms;
- subprocessor information; and
- security information reasonably required for vendor review.
